Creating Budgets & Bids

In the header nav bar, navigate to Projects.

In the side nav bar, navigate to Bids under Management.

  • Click the + icon and select Budget.

    What is a budget?

  • Give the budget a name in the following modal.

  • Create a bid using the ‘+’ button located next to the newly created budget.

    What is a bid?

    1. If this is a newly created budget, users may also see the option to create it using the ‘Add Bid’ button.

  • Fill out the information in the following modal, and then hit create.

  1. Now that a bid has been created under a budget, allocations can be added to the project. Click the ‘Add Allocation’ button.

    What is an allocation?

    1. Add all relevant allocations to the project using the pop-up modal.

      1. If no allocations exist, click the ‘Create Allocation’ button instead.

      2. Fill out the information in the following modal, and then hit submit.

        It is recommended to link allocations to departments. Any users added to those departments will automatically be added to the allocation.

  2. Once all desired allocations have been added, begin giving them estimations for their bid hours in the Bid column.

  3. In order to assign users to an allocation, they must first be added to the project via the ‘Departments’ section in the side nav bar, under Management.

    1. Click the ‘Add Departments’ button.

    2. Add any desired departments using the following modal.

      If no departments are visible, departments will need to be added. See ‘Adding Departments’ for more details.

    3. Once the desired departments have been added, begin adding users to each department via the ‘Add Users’ button.

    4. Add the relevant users to the department by clicking the ‘Add’ button the following modal.

      Why don’t I see any users when trying to add users to a project's department?

  4. Now that users have been added to departments, return to the ‘Bids’ tab to confirm that the correct users are now assigned to their respective allocations, and set a status on the bid whilst continuing to flesh out the bid.

  5. Once a bid has been approved, set the status as approved to allow users to begin allocating their time to the appropriate project & allocation.

  6. Once approved, the bid column will be locked and users can now make adjustments to the bid in the Adjustment column, allowing them to shift hours from allocation to allocation within the bid.

  7. Now that the budget, bid, and allocations have been set up, any tasks or events created under the appropriate project and allocation will link back to this bid.
