This is the tab of the header nav bar where team members will spend most of their time in Envisage. Here we are looking at Adrian’s schedule. Let’s dive deeper into it.

Availability:

This helps keep the team aware of Adrian’s commitment capability.

From here Adrian can add their availability throughout the week by dragging out a box for the day. 

To set your availability:

  • Open the Availability section in the Scheduler.

  • Click and drag on the calendar to mark when you’re available during the day or week.

Edit your availability:

Need to make a quick change? You can easily update or remove your availability.

To adjust your availability:

  • Click the availability block you've already set.

  • Drag the top or bottom edge to extend or shorten your available hours.

  • Drag the entire block to move your availability to a different day.

To delete your availability:

  • Click the availability block, then choose Delete.

Your calendar will update instantly to reflect the change.

Once the box is added, left click for more options. Edit it more granularly if needed and you can also choose the option to repeat. Here we are choosing every weekday Monday to Friday.

Here are the results:

*Hint: another option is to hold ALT + drag a box. This will be useful when you want to duplicate an event in the scheduler.

Scheduler:

The scheduler lets you add, view, and manage tasks and events easily.  Whether you’re planning your own time or coordinating across your team.  A task is a unit of work assigned to you or by other members in your project.  You can drag, and drop existing tasks directly from the tasks panel on the right. 

Tasks get added to Adrian's day and blocked out ahead of time. This allows Adrian to know what to work on, for how long, and priorities without having to reach out to anyone. Notice the darker section of the calendar. This is the availability Adrian had established at the beginning.

Switch the view to see the day rather than the week. Here you can see the events that are connected to the Google calendar. With this you can easily drag and drop them to your scheduler.

On the right are the tasks that have been assigned to Adrian. 

To schedule a task:

  • Open the Task Detail Panel on the right side of the Scheduler.

  • Find the task you want to schedule.

  • Click and drag the task onto the calendar.

Once the task is placed:

  • Adjust its duration by dragging the top or bottom of the task block.

  • Click on the task to open a pop-up where you can edit details like project, component, date, allocation, and more.

Adrian can create an event by just dragging out a box in the scheduler and putting in the details there. This also can work as a temporary placeholder if a task doesn’t exist yet. This is also useful for when someone wants to take lunch or will be out of office. Here are the results of blocking out Adrian’s week.

Here Adrian can see what his priorities are, how many hours he should spend on each task, and when things are due. A couple things I’d like to point out. I’ve circled the red exclamation mark at the top right corner of the task in the scheduler.

Envisage tracks what the bid times are for each task and it updates live as the tasks are added to the scheduler. This red exclamation mark indicates this is going to go over the bid hours. Either Adrian will have to reduce the hours spent on those tasks or production will have to add hours to the bid times.

The blue task has an orange exclamation mark. It even highlights at the top of the day. This is indicating the task itself is not properly connected. If I open the task I can see the Allocation is not connected properly and it should be connected to Compositing.

When Adrian is finished with his day, he can hit submit his time entry in the top right corner. This will lock the day and confirm what was worked on for the day.

A pop up will appear to confirm what Adrian is submitting. Once the time is selected, everything prior to that time will be submitted.

Once Adrian has submitted it, the logged work will be added to the top right corner. This is an indication how many hours were actually worked throughout the week.

My tasks:

This is a wide view of all the active tasks that are currently assigned to Adrian. Here we can see what is the status of everything, the project, the due dates, who it is assigned to, priorities, remaining budget.

Adrian can switch the task as he needs to. This helps production know what is in progress, has not been started, or if something is pending review. Typically Adrian will only switch the task between In Progress or Pending Review. Production should set the status for anything else. These tasks are also visible on the right side of the scheduler.
