This is the tab of the header nav bar where management will track each of their respective projects in Envisage. Let’s start by creating a new project:
If you need a refresher on creating projects, follow the instructions on the ‘Creating Projects’ page.
Now that a project has been created, let’s connect some departments.
If you are missing departments to choose from, you will need to add them by following the instructions on the ‘Adding Departments’ page.
Now that some departments exist in the project, let’s add some users to these departments.
If you don’t see any users in their respective departments, you will need to add them by using one of the two methods outlined in the ‘Assigning Users to Departments’ page.
Now that users have been added to departments within the project, let’s set up the budget, bid, and allocations.
If you need a refresher on creating budgets, bids, and allocations, follow the instructions on the ‘Creating Budgets/Bids’ page.
Now that the project has a budget, bid, and allocations, let’s connect some tasks to these allocations.
Once tasks and data are connected to our project and allocation, users will be able to see how the data flows into the bid through the allocation.
If you need a refresher on creating tasks, follow the instructions on the ‘Creating Tasks’ page.
Let’s jump forward in time and assume this project is nearing completion. As users put tasks and events connected to their respective allocations of the project, that data will flow back into the bid, where management can begin balancing the budget and shifting hours between the various allocations within the project’s bid.
In the below example, modeling and production have started to go over their initial bid estimations, so let’s correct that by shifting hours from animation to the other two departments.
The objective is to stay within our initial estimate of total hours, so this can be achieved by observing what is in the Remaining column, and shifting/balancing hours between allocations to accommodate for any overages.
This is a common practice that should be acted on regularly by management. At any time during the project, we can check in on its progress and dive in with a more granular view using any of the tabs within the bids section of the project.
Let’s check the ‘Breakdown’, ‘Teams’, and ‘Reports’ tabs to get a more granular perspective of the project’s inner workings.
Breakdown:
The ‘Breakdown’ tab has all tasks and events associated with the selected department. Users can hover over the task log icon to see all events tied to that task. Users can also utilize the Export button to export all data for that particular department.
Teams:
The ‘Teams’ tab can be utilized as a method of further breaking down the allocation by distributing hours amongst other users accordingly. Users can assign a set amount of hours to each user to better plan their contribution to that bid. Those hours are reflected in the ‘Reports’ tab.
Reports:
The ‘Reports’ tab gives users a breakdown of their teams. If a user is in multiple teams using different allocations, their hours will be separated based on the allocation they logged their time to.
Let’s take a look at exporting the data from the ‘Breakdown’ page to a .csv file to bring into your spreadsheet software of choice.
Users can use this data to further plan and track their project in their spreadsheet software of choice.
